From application to data delivery

Application submitted

Once your application is submitted, it will be reviewed by the SCAPIS office. During this review, the SCAPIS office will, among other things, check that the research is approved by Swedish Ethical Review Authority (EPM), that the variables you have requested are reasonable for your research question, and that the formalities of the application are correct. If any questions arise, you will be contacted by the SCAPIS office.

Data delivery - Preparation details

When/if the application is approved, the corresponding dataset will be prepared and put in a 7z file archive. The 7z file will be encrypted with a password and made available for download via SFTP. An email with download instructions will be sent to the data recipient, who will also receive a sms with the password to the 7z file.
To be able to download and access the data, the following software is needed:

SFTP-client – to download the data
The recipient of the data needs to have an SFTP client to be able to download the 7z file. Any SFTP client will do. Below, we link to guides for FileZilla, an open-source free-to-use SFTP client.

Mobile BankID – for authentication
The data recipient will need to authenticate themselves with Mobile BankID during the download process.

Data delivery - Receiving Data

Once the dataset is ready for delivery, the data recipient will receive an email from noreply_scapis@gu.se with the following download instructions:

  1. Open your SFTP client
  2. Use the following connection details in the client:
    - Host: <server address>
    - Username: <username>
    - Port: 22
  3. Click connect. If prompted to enter a password, click OK without entering a password.
  4. Open the BankID app on your phone and follow the prompt to identify yourself. When it asks, "Har du ringt upp Göteborgs universitet?", click "Yes" and complete the identification process.
    Note: The authentication will time out after 20 seconds. If this happens, click "Connect" again in your SFTP client and redo the authentication.
  5. Once the connection has been set up, locate the file you wish to download in the remote section of your SFTP client.
  6. In the local section select the folder to where you want to download the file.
  7. Download the file. Normally one of the following methods will work (depending on your SFTP-client):
    - Right-click on the file and select "Download", or
    - Double-click on the file (it will instantly download to your local folder), or
    - Drag-and-drop the file to your local folder.
  8. You might need to re-authenticate yourself using the BankID (see step 4).
  9. Wait for the download to complete.

Extracting the dataset

To extract the 7z file, a compatible software is needed. We recommend the following:

Windows: https://www.7-zip.org

Mac: https://theunarchiver.com

Remember that the data contains sensitive personal information and must be handled with utmost care and in accordance with regulations.
